Overview

Smartsheet is a collaborative work management tool that helps teams manage projects, track tasks, automate workflows, share information, and build no-code solutions using a spreadsheet-like interface.

UCSB offers access to Smartsheet through a campus Higher Ed licensing package, including free and licensed account options. Licensed accounts are available through a charge-back model.

Account Options

Free User Account

A free, non-licensed account allows users to participate in existing Smartsheet workspaces, sheets, and projects that have been shared with them.

Free users can typically view or edit shared items, but they cannot create their own sheets, reports, dashboards, or other Smartsheet items without a license.

Licensed User Account

A licensed account is a paid account that allows users to create and manage Smartsheet items, including sheets, reports, dashboards, forms, automations, and other project management tools.

Licensed accounts are provided through UCSB’s Smartsheet enterprise account and are available through a department charge-back model. The pro-rated subscription cost is passed through to the requesting department.

A licensed account may be appropriate for users who need to:

  • Create or own Smartsheet workspaces, sheets, reports, or dashboards
  • Build forms, automations, or workflows
  • Manage projects or team processes in Smartsheet
  • Use premium applications included in UCSB’s licensing package

Units requesting licensed accounts should designate a coordinator to serve as the primary point of contact for their unit.

Licensed users have access to receive up to 10 one-on-one coaching sessions with a Smartsheet expert to help optimize projects, programs, and processes.

Smartsheet Premier Support

Licensed users have access to Smartsheet Premier Support for technical issues or product questions:

Access to Premium Applications

Licensed users can access several premium applications through the Smartsheet Application Launcher.

  • Dynamic View: Allows teams to share selected information with specific audiences based on role, department, or process needs.
  • Data Shuttle: Uploads or offloads data between Smartsheet and other systems, helping teams centralize and automate data updates.
  • Pivot App: Creates summary sheets and pivot-style views from Smartsheet data for reporting, analysis, and dashboard charts.
  • DataMesh: Keeps data consistent across sheets and reports by connecting related information and reducing duplicate data entry.
  • Calendar App: Creates interactive calendars that can be shared and updated from Smartsheet data.
  • WorkApps: Allows teams to build simple, no-code apps using Smartsheet content and external resources such as dashboards or documents.

Request Access

To request a Smartsheet account, submit a “Request New Account” ticket via ServiceNow and select “Smartsheet” from the dropdown menu. When requesting access, indicate whether you need a free user account or a licensed account.
