Overview

eduroam (education roaming) is the secure, world-wide roaming access service developed for the international research and education community. For more information, visit www.eduroam.org.

This network service provides visiting faculty and students from participating institutions the ability to easily gain secure network access utilizing their home institution credentials. It also provides UCSB faculty, staff, and students who will be visiting a participating institution the ability to pre-configure their device for eduroam access, providing secure, automatic access while away.

Connect to eduroam

Option 1: Join the eduroam WiFi network.
Your account name must be entered in the form <Your_UCSBnetID>@ucsb.edu.  Logins will fail if "@ucsb.edu" is not included.  Use your UCSBnetID password. Note: This might not be your actual email address. Do not change it to match your email address. This option will not work for all devices (e.g. Android). If you have issues with wifi, visit the UCSB Wireless Network Configuration page.

Option 2: Join the UCSB Setup WiFi network.
Open a web browser and go to www.ucsb.edu. You will be sent to a page that will guide you through the configuration process. This option may provide you with a more secure connection.

Campus visitors from eduroam participating institutions can simply select eduroam from their operating system Wi-Fi options and log in using their institution's credentials. If you experience any issues with eduroam while visiting UCSB, please contact your home institution's service desk.

Campus visitors not from a participating institution should use the UCSB Wireless Web.

Special Considerations

The Network Operations Center (NOC) maintains the wireless network but does not provide hands-on device configuration assistance. Submit an IT support ticket for assistance.

Smartsheet

Collaborative work management for projects, tasks, workflows, and reporting.

Smartsheet is a collaborative work management tool that helps teams manage projects, track tasks, automate workflows, share information, and build no-code solutions using a spreadsheet-like interface.

UCSB offers access to Smartsheet through a campus Higher Ed licensing package, including free and licensed account options. Licensed accounts are available through a charge-back model.

Account Options


Free User Account

A free, non-licensed account allows users to participate in existing Smartsheet workspaces, sheets, and projects that have been shared with them.

Free users can typically view or edit shared items, but they cannot create their own sheets, reports, dashboards, or other Smartsheet items without a license.

Licensed User Account

A licensed account is a paid account that allows users to create and manage Smartsheet items, including sheets, reports, dashboards, forms, automations, and other project management tools.

Licensed accounts are provided through UCSB’s Smartsheet enterprise account and are available through a department charge-back model. The pro-rated subscription cost is passed through to the requesting department.
 

A licensed account may be appropriate for users who need to:

  • Create or own Smartsheet workspaces, sheets, reports, or dashboards
  • Build forms, automations, or workflows
  • Manage projects or team processes in Smartsheet
  • Use premium applications included in UCSB’s licensing package

Units requesting licensed accounts should designate a coordinator to serve as the primary point of contact for their unit.

Visitors to UCSB

Campus visitors not from a participating institution should use the UCSB Wireless Web network, which now features self-registration for guests on the Wireless Web login page. 

You no longer need a NetID or Conference Code to access our wireless services. Once you register, you'll receive an SMS/text-provided password, which gives you a seven-day connection.

Campus visitors from eduroam-participating institutions can simply select eduroam from their operating system WiFi options and log in using their institution's credentials. If you experience any issues with eduroam while visiting UCSB, please contact your home institution's service desk.

Support

Provided by the Network Operations Center (NOC) and includes the following:

  • Full configuration, monitoring, diagnostics and repair of access points to ensure the service is functioning properly in the designated coverage areas.
  • Limited end-user support, consisting of username/password assistance and general configuration information. The NOC does not perform hardware or software diagnostics or configuration on end-user computers.

Secure Service Access (SSA)

Secure, identity-based access to protected departmental applications and services.

In 2025, UCSB began the implementation of a new Secure Service Access (SSA) solution using the Zscaler client connector. This replaces Ivanti VPN or other existing remote access tools. The SSA / Zscaler client connector is installed on devices, and prompts users to authenticate identity using their UCSB credentials before granting access to private resources. 

Benefits:

  • Providing a simple, convenient, and consistent experience to users. Our faculty, staff, and students will have access to the systems, data, and services they need to pursue their academic or research objectives—whether on different campus location or around the world. 
  • Users can choose to have the SSA / Zscaler client connector running in the background in order to seamlessly connect to protected UCSB applications instead of manually launching Ivanti VPN or other remote access tools every time they need access. 
  • The connector has the ability to continuously check the security posture of both users and devices attempting to connect to sensitive resources. This ensures sensitive data is not exposed to an unauthorized user, or a compromised device. 
  • Unlike VPN, which connects users to an entire network, SSA / Zscaler client connector only connects a user to the specific UCSB resource they need, eliminating the unnecessary exposure of other sensitive user information. This shrinks the attack surface and limits lateral movement between university business systems, visitors, and BYOD while enhancing user privacy.
  • Only traffic associated with identified UCSB resources transits the connector. All other traffic remains private. 

Functionality:

  • Once the client connector is installed, users will be prompted with an authentication window.
  • They must authenticate into the client connector with their UCSB SSO, or the window will persist. 
  • The client connector’s optimal functionality is to be both authenticated to, and turned on. This ensures proper network connectivity and security. 

Frequently Asked Questions

Initially, ScreenConnect and VPN will be replaced, but in the future, SSA could provide additional capabilities to improve remote access to UCSB resources. 

There will be a gradual replacement of some commonly used tools for remote access to UCSB systems or applications. Access to sensitive applications may be restricted to only specific users/groups, and may be subject to a device security posture check. 

Security postures are a real-time check of a device’s security health. This information is used to decide whether the device can be trusted to access sensitive resources. For example:

  • Is the device running a supported, up-to-date operating system?
  • Does the device have an anti-virus solution enabled?
  • Is full-disk encryption enabled on the device?
  • Is a local firewall enabled on the device?

Private UCSB-hosted applications containing P3 / P4 data will require the user to have a device security posture check before access is granted. All applications currently requiring VPN will require the SSA connector. 

Systems or applications generally accessible by the public, students or parents will not be behind SSA or require a security device posture check. 

VPN provides full trust and access to an entire network, while SSA only connects the user to the specific systems or applications that they are authorized to access. This makes SSA a more secure alternative. Instead of manually opening the VPN client and connecting when needed, the ZPA connector used for SSA provides a more seamless user experience. The client runs in the background and will automatically initiate connections when you need access to protected UCSB applications or services. Users will need to re-authenticate every 7 days. It is security that is always on, and only acts if a user needs access to a secure UCSB resource.

In addition to improving our cybersecurity posture, there are other benefits of SSA:

  • SSA is similar to a split-tunnel, which only routes traffic for specific applications through the connector, resulting in faster internet speeds, even when the client is running. This makes SSA a more stable access model that will not require frequent interaction or reconnections.
  • The connector replaces VPN as the tool that devices must have installed to remotely access certain secure systems. It is lightweight and updates itself automatically. Unlike the current VPN (Ivanti) the connector does not require significant maintenance by users or IT support.

It is licensed to faculty, staff and student employees. 

Deprecation will be iterative. ITS VPN profiles will be replaced first, followed by departmental VPN profiles. We expect to complete the transition by fall 2026.

VPN service may still be used in some capacity. More information to come.

  1. For remote connectivity, admins will use native tools, such as Remote Desktop Protocol (RDP) or Secure Shell (SSH).

Campus VPN (Ivanti)

Securely connect to campus network resources from an off-campus location.

A virtual private network (VPN) creates an encrypted, authenticated connection between your device and UCSB, protecting your data as it travels over public or private networks. When connected, your internet traffic is routed through a campus VPN server and appears to originate from a UCSB network address, allowing secure access to resources that may be restricted to on-campus users.

UCSB is currently transitioning away from Ivanti VPN client to a new Secure Service Access (SSA) model as part of the Secure UCSB program. This service is being implemented in a phased approach. Learn more.

Connect Sites: UCSB-Hosted Websites

Connect Sites is a managed website hosting and content management service for UCSB departments, programs, labs, centers, and other campus organizations. The service supports self-managed websites built with Drupal or WordPress and is hosted through the Pantheon cloud platform.

Service Considerations

Connect Sites provides website hosting and platform support but does not include website design, development, content creation, or ongoing site management.

Website owners are responsible for maintaining their Drupal or WordPress site, including applying updates to applications, themes, and modules. Pantheon offers automated WebOps tools that can assist with routine updates. Website owners should also plan for a significant redesign or platform upgrade approximately every four to five years in coordination with a web developer.

Zoom Phone (Voice Over Internet Protocol)

Campus telephone service delivered through an internet-based calling platform.

Voice over Internet protocol, or VoIP, allows users to make and receive calls using the internet. Instead of transmitting a call from a hardwired desk phone through a network of switches and wires, VoIP converts voice communications into digital data that travels over an internet connection to its destination. 

UCSB will utilize Zoom Phone for our voice over Internet service. With a single platform utilized for voice, chat, and video, users will make phone calls with the same ease and familiarity as Zoom video meetings. Visit our Zoom Phone training page for helpful videos and reference guides.

Over the past several years, organizations of all sizes have turned to VoIP to replace their legacy phone system and give their employees the tools they need to communicate in an increasingly mobile world. Extensive business features give users incredible flexibility to make and receive calls from anywhere without being dependent on a physical location like an office desk phone. VoIP calls can be made with any device that has a reliable internet connection, including a desktop, laptop, smartphone, or tablet.

Frequently Asked Questions

You will be able to forward your calls to a flip phone, although the mobile app for Zoom cannot be installed on your flip phone.

Yes, this functionality will not change. Most faculty and staff will retain their phone number and extension.

Yes, with the Zoom application installed, you can transfer calls from a traditional phone to your digital devices and to another employee's device.

No, for those already using the Zoom software client, a user-friendly phone tab will become available to you within Zoom. The new desk phones will also be very user-friendly. The project team will also release training documentation and videos to help users learn how to use the new phone software.

The new voice service will be more secure than the current phone system. VoIP has security protocols to encrypt calls over the internet.

If you are using the mobile client, Zoom will use your cellular information to gather your location and send that information to emergency services.

When making 911 calls from your desktop client, the user will need to input an address that is shown to emergency services upon calling. Since the desktop client can be accessed anywhere, the user will need to update their address when using their desktop client from a new location.

Deskphone location information will be set in the system and sent to emergency services the same way it is now.

If there is a power loss, any device not powered via battery will turn off. If you have the mobile client installed on your smartphone, you will still be able to access the Zoom Phone service from your mobile device.

The Zoom mobile app is an available option for easy access to the new service but is not required to use Zoom Phone. Communication Services recommends the use of the desktop client on your computer, which is included with Zoom Phone service.

If you are planning to use the app on a cell phone, this will use your mobile data. It is recommended that a user be connected to WiFi if they do not have an unlimited data plan. Audio calls should only consume 27–36 MB/hr of continual use. 

Users can request to turn on this feature. Work with your departmental liaison to have the recording feature turned on. 

Yes, Zoom Phone gives you a notification “calls will not be dropped when you are leaving.”

You can change that in your settings. The default setting will give you a pop-up notification with the options “Decline,” “End Meeting,” or “Hold Meeting.” If you decline, the call will go directly to voicemail. If you select “End Meeting,” you will leave the meeting you are in and immediately go to the call. If you decide to “Hold Meeting”, you will be removed from the audio of the meeting, but will remain in the meeting. Once the call is done you will have to click “Join Audio” to rejoin the meeting. Alternatively, you can set up the option to decline calls automatically while in a meeting and all calls received while in a meeting will go straight to voicemail. 

You can receive multiple calls. Call waiting is a standard feature with Zoom Phone.

Shared lines have their own voicemail. This means all individual users will have their own mailbox and can be granted access to their own unique voicemail associated with a shared line, keeping both separate. 

Yes, it doesn’t matter if the computer is on or off, or even if it’s not plugged in. Calls will still go to your voicemail if they are missed, no matter the reason.

The base rate for the Zoom Phone service will remain what it is today ($11/month) until we transition to a new billing model, which is currently being evaluated. This evaluation will take about two years to complete. The baseline cost includes Caller ID and Voicemail along with free calls to US/Canada/Mexico. Calls to other countries is a capability that would have to be requested and would incur per-call toll charges.
